AI visibility reporting tool for client reporting

How we handle client reporting for AI visibility: what to put in the report, which reporting features matter, and why we run reports from Promptwatch.

Reporting is where AI visibility programs succeed or die with the client. The data can be excellent and the retainer can still be cancelled, because the report the client sees does not answer the question in their head: is this worth paying for? We have rebuilt our client reports several times. Here is where we landed, and the tool features that make it practical.

What a good AI visibility report contains

We keep the main page to five items.

  1. Where we stand. Visibility Score and Share of Voice against two or three named competitors, for the prompt set we agreed at kickoff.
  2. What changed. Gains and losses since last period, at prompt and at page level.
  3. Why. The citation sources behind the movement and any crawler issues we found.
  4. Outcome. AI-referred visits and conversions where we can measure them.
  5. Next month. The two or three actions we will take.

Mentions alone are not a report. A client who reads "you were named in 31 percent of prompts" will ask what that did for the business. We want an answer ready.

What we need from a tool

  • Branded output. PDFs that carry the client's or our branding.
  • Scheduling. Reports that go out on time without us clicking export.
  • Custom layouts. One client wants citations, another wants conversions.
  • Open data. CSV, Excel and a Looker Studio connector for clients with their own dashboards.
  • Pricing that scales with clients. Per-brand pricing punishes agencies.

How this works on Promptwatch

We run client programs on Promptwatch, partly for this reason.

PDF reports can be generated from any dashboard and scheduled, with white-label branding on PDF exports and schedules. The vendor also lists a white-label workspace and client portal for agencies, but does not tie it to a named plan, so we confirm availability before promising it to anyone. Custom reports and the Looker Studio (Data Studio) connector are available from Professional and on every agency plan. Exports to Excel and CSV let us pick columns.

For building the report, we use dashboard templates such as competitor comparison, topic gaps, AI model breakdown and citations, and the A/B period comparison, which fits month-on-month reporting. Agent Chat can pull a seven-day briefing or a competitor gap analysis from live data, and generate a PDF.

For the business metrics, visitor analytics attribute AI-referred visits and conversions. For the explanation, citation analytics (page, Reddit, YouTube) and crawler logs from IP-verified bots give us the why. Slack briefings are not available on white-label workspaces, which matters if a client expects them.

On economics, the agency plans (Kick-off $199, Growth $399 and Scale $799 a month) include unlimited projects, unlimited pitch projects and unlimited prompts, with 10 seats. Pitch projects let us show a prospect a first audit before the contract is signed.

Where other tools fit

We have looked at the budget agency tools. Mentionable's Agency plan (299 euros a month) lists white-label reports and shareable audits. Ceyo's Grow plan lists white-label exports. GetIntel lists white-label on Pro. They can serve a freelancer with a few small clients. AthenaHQ and Scrunch AI publish entry prices of $295 and $250 a month, though neither shows agency reporting in the detail above on its pricing page. We stay with the tool that connects reports to crawler logs and conversions, because that is what saves difficult conversations.

Habits that keep clients

  • Send the report on the same day every month.
  • Lead with one sentence of plain language, then charts.
  • Say what you did, not only what happened.
  • Never promise a ranking. No tool can guarantee an engine recommends a client, and clients remember promises.
  • Keep a changelog of site changes beside the metrics so cause and effect are visible.

Getting started

If you are building an agency offer, set up a pitch project, run a client's prompt set for two weeks and build the first report from real data. The free Explore tier on Promptwatch is a quick way to see the dashboards, though white-label reporting belongs to the paid agency setup.
