Best tools to track my brand in ChatGPT: how we do it for clients

How we track a brand in ChatGPT for clients: prompt panels, fan-outs, citations, OpenAI crawler logs and referral traffic, and the tools we trust for each step.

A client opens ChatGPT, types a question about their category, and does not see their name. That one screenshot starts most of our engagements. It is also a poor measurement, because ChatGPT answers vary between runs, between users and between locations. Tracking a brand in ChatGPT means replacing that screenshot with a panel.

Here is how we do it, and which tools we use.

Replace the screenshot with a panel

We build 30 to 50 prompts per brand. Some are category questions ("best accounting software for freelancers"), some are comparisons, some are problems, and a few are brand prompts. Each is tagged by topic and intent. We run them daily, and we report the average, not a single result.

Promptwatch does this for us. It monitors ChatGPT (Search) through the real interface rather than a bare API call, with daily prompt panels by model, country and language. Visibility Score, Share of Voice, Sentiment and Position in Answer give four different views of the same data. We find Position in Answer the most honest, because a brand named fifth in a list is not winning.

Read the fan-out

ChatGPT does not answer from the prompt alone. It runs sub-queries, and the sources it picks come from those. Query fan-outs per model show those sub-queries. When a client asks why a competitor is named, the fan-out is often the answer: ChatGPT searched for a specific comparison phrase and found a page we do not have.

Citations tell you what to do

Citation analytics give page and domain level citations, with URL positions. Page Tracker follows specific URLs, ours or a competitor's. We look for patterns: does ChatGPT keep citing a particular review site, Reddit thread or YouTube video? Offsite mentions, where a brand is named on a third-party page without a link, show gaps that outreach can fill. ChatGPT News citations matter for brands that get press coverage.

Check which OpenAI bot visits

OpenAI has more than one crawler. GPTBot, OAI-SearchBot and ChatGPT-User each do different jobs, and clients sometimes block one of them in robots.txt for good reasons and another by accident. Agent Analytics shows IP-verified logs for each, with error tracking and failure explanations. It filters spoofed user agents, so a fake GPTBot hit does not inflate the numbers.

The crawl-to-citation path shows a citation rate per page. A page fetched often but never cited needs content work. A page cited but with errors needs technical work. A page never fetched needs access fixed. Crawler logs start on the Professional plan, so Essential will not show this.

Count the visitors

Visitor analytics tracks AI-referred traffic and conversions from ChatGPT and others, using a lightweight script, the GTM template or the WordPress plugin. We report ChatGPT referrals as a count and a conversion rate, and we are open with clients when the volume is small. Mentions that send nobody are still worth knowing about, but they are not a revenue claim.

Watch the ads

ChatGPT Search can show sponsored results. Ads Radar captures ads for tracked prompts: advertiser, copy, target URL and the prompt that triggered it. It starts on Business and is also on every agency plan. It does not report on a client's own OpenAI campaigns, which live in OpenAI Ads Manager.

What we tell clients it cannot do

It cannot make ChatGPT mention you. Answers move. A tool gives you a measured baseline and a list of reasons. It does not control the model, and anyone who says otherwise is selling something.

Starting small

The free Explore plan is ChatGPT only, with 10 prompts and 310 responses. It is enough to produce a first baseline. Essential at $95 a month gives 50 prompts. Professional at $245 adds crawler logs and custom reports, and it is where most of our client programs begin. Agencies have plans from $199 a month with unlimited projects and prompts.

Other tools we have looked at, such as AthenaHQ, Scrunch AI and the Semrush and Ahrefs add-ons, are credible for narrower jobs. We keep coming back to the platform that ties mentions, citations, crawler logs and conversions together, because that is the one the whole story fits into.
