Shortlist: the best AI visibility platforms for a B2B SaaS team with about $500/month

How we shortlist AI visibility platforms for B2B SaaS teams on a $500 monthly budget, what to buy first, and what to ask before you sign. Practitioner view.

A B2B SaaS team with about $500 a month for AI visibility is in a better position than it thinks. That budget clears the entry price of almost every self-serve platform and leaves room for one that does more than count mentions. The mistake we see teams make is buying the cheapest tracker, then finding out later that they can see where they are named but not why, and not what to change.

Here is how we shortlist for SaaS clients, and what we would ask before signing.

What a SaaS team needs from the tool

We frame it as four questions:

  1. Are we in the answer when a buyer asks for the best tool in our category, or for alternatives to a competitor?
  2. Which sources decide that? Review sites, Reddit threads, comparison blogs, our own docs and pricing pages.
  3. Can the AI crawlers reach our site, including documentation and integration pages?
  4. Do AI-referred visitors turn into demos and trials?

A tool that answers only the first is a tracker. Teams with a small marketing function usually need the other three, because they have no spare analyst hours to piece them together from different products.

The shortlist criteria we apply

  • Price fits with room to grow. We leave headroom, because prompt counts and response limits tend to expand within a few months.
  • Real interfaces, all relevant engines on the plan we would actually buy.
  • Source and citation analysis, not just mention counts.
  • Crawler visibility.
  • Traffic attribution to conversions.
  • A path to action, meaning content tools or a task list.

What we run clients on

We use Promptwatch for client programs, so we know its plan structure well. For a SaaS team at this budget, three plans matter.

Essential, $95 a month. 50 prompts, 6,000 responses, one project and one seat, site audit, content gap analysis and 360 Insights. It has no crawler logs. We treat it as a way to start, not a place to stay.

Professional, $245 a month. 150 prompts, 18,000 responses, two projects and seats, 25M crawler logs, 1M visitor events, 5 AEO articles, a knowledge base of 100 items, and custom reports with Data Studio. This is the one we reach for most often at this budget, because crawler logs start here and roughly half the budget is still free.

Business, $579 a month. Slightly above $500 on monthly billing. Annual billing is 12 months for the price of 10, so Business is $5,790 a year, about $483 a month, which fits. It adds 350 prompts, 5 projects and seats, 100M crawler logs, state and city tracking, the automated Content Agent, Shopping Insights, Ads Radar and an audit log. The 7-day trial is on monthly billing, and not on Business.

The features we use most in SaaS work:

  • Prompt tracking organized by topic, tag and persona, with search volumes, difficulty scores and query fan-outs, so category questions, comparison questions and brand questions stay separate.
  • Citation analytics with Reddit, YouTube and LinkedIn reports, to see whether review sites and communities decide the category.
  • Agent Analytics, IP-verified crawler logs with a crawl-to-citation path and error tracking, to make sure docs, pricing and integration pages are reachable.
  • Visitor analytics through a script, GTM template or WordPress plugin, to tie AI referrals to demos and trials.
  • Competitor heatmaps that compare brands against models or topics.
  • Action Board with a weekly Discovery agent that suggests up to five evidence-backed actions per run.

It monitors the live interfaces of ChatGPT (Search), Google AI Overviews, Google AI Mode, Copilot, Gemini, Perplexity, Amazon Alexa and Meta AI, plus other models via API, and paid plans include all active models.

Who else we would put on a shortlist

We evaluate alternatives honestly because a client's context sometimes points elsewhere. The figures come from the vendors' public pages as logged in our catalog in October 2026.

  • AthenaHQ, Starter at $295 a month: 3,600 credits (one per AI response), 11 models, unlimited prompts. A fit if the Action Center is the draw. Credits can run out under heavy tracking, and we found no crawler-log product listed.
  • Scrunch AI, Core at $250 a month: 125 prompts, 5,000 responses, four LLMs, and bot traffic reporting.
  • Rankscale, Pro $99 or Pro+ $229: a low price per engine query on a credit model.
  • LLM Pulse, from €99 a month weekly or €149 daily on Growth: unlimited seats and clear pricing.
  • Ahrefs Brand Radar: worth a look if the team already uses Ahrefs.
  • Gauge, Growth at $599 a month: high daily prompt volume on three platforms, slightly over budget.
  • Profound: enterprise marketing agents, with Enterprise contracts starting around $40,000 a year per our entry. Out of range here.

Questions to ask any vendor

  1. Which engines are included on this plan, and which cost extra?
  2. Real interface, or API samples?
  3. What is the unit of consumption: prompts, responses, credits?
  4. Can I see the pages and domains cited, not only counts?
  5. Are crawler logs included, and on which plan?
  6. Can it attribute AI visits to conversions?
  7. What happens when I hit the limit: a pause, an overage, a forced upgrade?
  8. Can I export the data?

Our caveats

No platform guarantees a recommendation. Teams should not buy a tool in the hope that the purchase itself changes the answers. What the right tool changes is how quickly you learn what is wrong and what to fix.

If we had to give a default for a SaaS team at about $500: start with a platform that includes crawler visibility and traffic attribution, keep half the budget in reserve for content work, and revisit the plan after a quarter of data.
