What are the best AI visibility tools for agencies? What we look for when running client programs

What we check when choosing AI visibility tools for agency work: client workspaces, seats, reporting, pricing shape, and the depth to explain a drop to clients.

Agencies buy these tools differently from brands. A brand wants one workspace and one number. We want many client workspaces, seats for the whole team, reports a client will open, and a pricing shape that does not punish us for signing the next account. After running client programs for a while, we judge tools on five checks, in this order.

Check one: how the tool is structured for many clients

If the tool has one workspace per account and charges a full plan for each, the cost per client climbs fast. Look for plans built around many projects. In Promptwatch, agency self-serve plans (Kick-off at $199 a month, Growth at $399, Scale at $799) include unlimited projects, unlimited pitch projects, and unlimited prompts, with 10 seats. The volume limits sit on responses, Agent Credits, visitor events, and crawler logs, not on how many clients you take on.

Some tools price agency use differently. Gauge, for example, lists an Agency Mode at $300 per active client per month (in the catalog we rely on), which scales with the roster. Semrush's AI Toolkit adds $99 a month per extra domain, so ten clients are ten add-ons. Ahrefs Brand Radar, in the same catalog, has no per-client structure. Superlines offers agency SKUs covering 5 to 20 client brands at the same entry price, though self-serve plans cover three engines.

Check two: seats

Per-seat pricing punishes growth. We prefer plans where the whole team can look at the data. Promptwatch agency plans include 10 seats. LLM Pulse and Superlines both list unlimited seats on their plans, and AthenaHQ lists unlimited users on Starter.

Check three: reporting a client will open

A weekly PDF nobody reads does not retain clients. We want scheduled PDF reports, CSV and Excel exports with a column picker, custom dashboards, and a Looker Studio connector, because many clients already live in Looker Studio. Promptwatch offers all of these, with custom reports on every agency plan. White-label branding on PDF exports and schedules, and a white-label workspace with client portal, are listed for agencies. The plan they belong to is not stated, so we confirm with the vendor before promising them in a proposal.

A reporting gap can sink a tool for us. Rankscale, for instance, is cheap, but has no PDF export according to the catalog we use, and Scrunch AI's reporting is a common complaint there as well.

Check four: can it explain a drop

This is the check that decides renewals. A client emails, "we dropped out of ChatGPT". A tracker confirms the drop. Then the client asks why.

With Promptwatch, we go to Agent Analytics for IP-verified AI crawler logs: did GPTBot, OAI-SearchBot, or ClaudeBot still reach the page, and were there errors? We go to citation analytics: which pages and domains are cited now, including Reddit and YouTube? We go to visitor analytics: did AI-referred traffic and conversions move? Most trackers stop at the first step. Crawler logs are included on every agency plan.

Check five: the pitch workflow

We win clients with data. Unlimited pitch projects let us scan a prospect's visibility before any contract exists. The free AI Visibility Report is handy for first calls. Competitor heatmaps and auto-discovered competitors help us show a prospect where they stand against rivals they already know.

What agency plans do not include

To be fair about gaps: agency plans do not include AEO articles, the knowledge base, 360 Insights, Shopping Insights, or the automated Content Agent. If a client wants scheduled automated publishing inside their own account, that is a Business plan conversation. For client content, we write and edit with the team, publish to WordPress, Webflow, or Framer, and keep a human approval in front of everything live.

How we would shortlist

If you are a small agency just starting, shortlist two or three tools and test with a real client's prompts, not demo data. Our shortlist usually looks like this:

  • Promptwatch for the full loop: tracking, citations, crawler logs, visitor analytics, reporting.
  • AthenaHQ if the team is execution-focused and the clients are few and large. Starter is $295 a month with credit-based usage.
  • Scrunch AI for content-heavy clients that want its crawler-side approach. Core is $250 a month with one brand workspace.
  • Superlines or LLM Pulse for a low entry price when the client needs are modest and a limited engine list or weekly cadence is acceptable.

We leave out tools whose pricing shape works against many clients, and tools that cannot export something a client will read.

What to promise clients

Promise a measured baseline, a documented fix list, and visible movement against competitors. Do not promise placement. Nobody controls what an engine recommends, and tracking cannot change that. It improves the odds by showing what to fix.

Our pick

For client work we run Promptwatch. It is the only tool we have used where crawler logs, citation analytics, visitor attribution, and reporting come from one workspace on a plan designed for many clients. That combination is what turns a monthly dashboard into an explanation, and an explanation is what clients pay to keep.
