The best AI visibility tools for in-house marketing teams, from our agency desk
What we tell in-house marketing teams about choosing an AI visibility tool: seats, reporting, workflow and attribution, and why we run client programs on Promptwatch.
In-house teams ask us for an opinion on tooling more often than agencies do, and the question is rarely "which dashboard looks nicest". It is closer to: we have one brand, four people who need access, a monthly report to leadership and no spare headcount, so what should we buy? Here is how we think about it, from running client programs.
The problems an in-house team actually has
Too few hands. An agency can dedicate someone to a tool. In-house, the person looking at AI visibility is also running campaigns. The tool has to tell them what to do, not just show a chart.
Many stakeholders. SEO, content, PR, product marketing and sometimes the CMO all want some view. Seat limits and role controls matter more than most buyers expect.
One recurring report. Someone owes leadership a monthly update. Scheduled exports and dashboards that compare periods save real time.
Proof of value. Sooner or later someone asks: does this bring customers? A tool that only counts brand mentions cannot answer.
What we look for
Workflow after the data. The Action Board in Promptwatch is an AI-generated, prioritized GEO to-do list. A Discovery agent reviews the data weekly and suggests up to five evidence-backed actions per run. Tasks can have assignees and comments, and a weekly digest email lands with the team. For a small team, that is the difference between a tool they open and a tool they forget.
Reporting without spreadsheets. PDF reports of any dashboard, scheduled PDF reports, Excel and CSV exports, and a Looker Studio connector. Custom reports start on Professional. Agent Chat can answer questions about live data, and scheduled chats can arrive in-app or in Slack, which suits teams that live there.
Access control. Owner, editor and viewer roles. Seats rise with the plan: one on Essential, two on Professional, five on Business. Business also adds an audit log.
Attribution. Visitor analytics counts AI-referred sessions and conversions from ChatGPT, Perplexity, Gemini, Claude, Copilot and others, through a lightweight script, a GTM template or the WordPress plugin. This is usually what moves a budget conversation.
Crawler logs. If AI bots cannot reach key pages, every other effort is wasted. Crawler logs start on Professional at $245 a month. Essential does not include them, which is worth knowing before you choose a plan.
Content help. Content gap analysis scores coverage against the prompts you track. Content Refresh suggests diff-style edits to existing pages. On Business, the Content Agent can plan, write and publish on a schedule, with a review inbox that keeps a human in the loop. We recommend the inbox.
Where the alternatives fit
AthenaHQ has unlimited users and an action queue, with Starter at $295 a month on a credit model. Scrunch AI Core is $250 a month with five licenses and four engines. HubSpot AEO is $50 a month and sensible for teams already on HubSpot, though it covers three engines. The Semrush AI Toolkit and Ahrefs Brand Radar suit SEO teams already in those suites. Profound is a large enterprise program. None of these publishes the crawler-log layer in the way we need for diagnosis, which is why we do not use them as our main platform.
How we would set up an in-house team
- One owner for the tool and a named backup.
- A prompt set of 30 to 50 questions, tagged by topic and intent. Add competitors.
- A baseline in the first two weeks, before changing anything.
- A monthly one-page report: visibility score, share of voice, citations won and lost, AI-referred conversions, and the top five actions.
- A review rhythm: fifteen minutes weekly on the Action Board, one hour monthly on citations.
Keep scope small. Teams that track 400 prompts in week one usually stop looking at the data by month three.
Starting cheaply
Promptwatch has a free Explore tier (10 prompts, ChatGPT only) and a 7-day trial on monthly billing for paid plans except Business. That is enough to learn whether your team will use it.
A tool cannot guarantee that an engine names your brand. What it can do is make the next step obvious and the monthly report easy.
