AI Search Monitoring Tools for Agency Clients: Dashboard, ChatGPT Visibility Tracking Platform

What an agency actually needs from an AI search monitoring platform: per-client projects, a dashboard clients can read, ChatGPT visibility and ad tracking, and pricing that does not punish adding clients.

Picking an AI search monitoring tool for one brand is a feature comparison. Picking one for an agency is an operations decision. You will set up a new client every few weeks, report to people who do not want to log in, and explain changes in ChatGPT answers to someone who controls a budget. The tool that wins a single-brand demo is often the wrong one at client number twelve.

We run client programs on Promptwatch. This post lays out the checklist we use for agency monitoring, how Promptwatch meets it, and where other tools fit.

What an agency platform needs

Per-client separation without per-client pricing. Every client needs its own prompt set, competitors, markets, and history. If the pricing charges per project or per prompt, adding a client becomes a negotiation with yourself.

A dashboard a client can read. Most clients want one page: are we showing up, against whom, is it getting better, and what are you doing about it. A raw response log is not that page.

ChatGPT visibility that holds up. ChatGPT is where most client questions start. Monitoring should read the real interface, refresh daily, and track by market, since answers differ by country and often by city.

The why, not just the what. When a client drops off a prompt, you need the cited sources, whether the AI crawlers fetched the client's page, and whether AI-referred traffic changed. Without that, every report ends with "we'll keep an eye on it."

Sponsored placements. Since ChatGPT started showing ads on its Free and Go plans in 2026 (Ads in ChatGPT), clients ask whether competitors are advertising on their prompts. OpenAI only reports an advertiser's own ads and has not described a public ad library, so the monitoring tool has to capture them.

Ways to get data out. Client reporting stacks vary. Some want Looker Studio, some want a PDF, some want it in Slack.

How Promptwatch's agency plans fit

The agency plans are self-serve and all include unlimited projects, unlimited pitch projects, unlimited prompts, and 10 seats, per llms.txt on 2026-10-21. Pitch projects are useful in their own right: we run a prospect's prompts before the first call, so the pitch opens with their actual answers instead of a generic deck. What scales between plans is volume:

PlanPriceResponsesVisitor eventsCrawler logs
Kick-off (7-day trial)$199/mo10,000500K10M
Growth (7-day trial)$399/mo25,0002M25M
Scale$799/mo65,00015M100M

Annual billing is 12 months for the price of 10. Scale adds audit logs. Enterprise adds SSO and a dedicated success manager at custom pricing.

Two inclusions matter for client work. Every agency plan includes state and city tracking, so a regional client's results are not averaged into a national number. And every agency plan includes Ads Radar. On the brand plans, both start at Business ($579/mo), so an agency plan is often the cheaper way to give a single regional client the full picture.

ChatGPT visibility. Paid prompts run daily across ChatGPT and the other tracked engines, including Perplexity, Gemini, Claude, and Google AI Overviews and AI Mode, using the real product interfaces. Prompt trends show what changed between checks: a competitor entering the answer, a source dropping out.

The why. Citation analytics shows which pages and domains each engine cited, down to Reddit threads and YouTube videos. Agent Analytics reads AI crawler logs from the client's CDN, with integrations for Cloudflare, Vercel, Netlify, Fastly, AWS CloudFront, Akamai, and others, so we can see whether ChatGPT's crawler fetched the page and whether it errored. Visitor analytics, through a script or GTM template, attributes AI-referred visits and conversions.

Sponsored placements. Ads Radar captures ads from responses to tracked prompts in ChatGPT Search, Google AI Overviews, and Google AI Mode, with advertiser, copy, target URL, and triggering prompt. The By Prompt view puts each prompt's ad count next to the client's visibility (Ads Radar docs). It does not cover Perplexity, and it does not show a client's own OpenAI campaign results.

The client dashboard. Promptwatch lists a white-label workspace and client portal for agencies, so a client can log into a view carrying the agency's branding instead of Promptwatch's. Custom dashboards export to PDF, and scheduled PDF reports send a dashboard to an inbox on a recurring basis, with the organization's white-label branding on both.

Getting data out. Every agency plan includes the free Looker Studio connector, for clients who already have a reporting dashboard. There is also a Slack integration that maps channels to projects and sends scheduled briefings, CSV and Excel exports, a REST API, and an MCP server. We use the MCP server to draft the monthly narrative from live data, then edit it by hand.

Acting on it. When a client is missing from a prompt, content gap analysis and the Content Agents draft the page and publish it to the client's WordPress, Webflow, or Framer site after review. We keep autopublish off for client sites.

If clients also buy ChatGPT ads

Some clients will want to test OpenAI's ads themselves. OpenAI's Advertiser API includes a partner setup for agencies managing client accounts, so campaigns can stay in the client's own account. Ads Manager reports impressions, clicks, spend, and conversions for those campaigns. We keep the monitoring view alongside: the client's ad results from OpenAI, the organic answer and competitor ads from Promptwatch. Give ad landing URLs their own UTM campaign so paid clicks never get counted as organic AI referrals.

Other tools, briefly

  • AthenaHQ suits an in-house team that wants an Action Center task list. Starter is $295/mo, and its multi-region features are Enterprise-gated, which is a problem for agencies with clients in several markets.
  • Scrunch AI, from $250/mo annual, is strongest on serving AI-optimized pages to crawlers, a good fit for content-heavy clients.
  • Gauge, from $599/mo, pairs six-engine tracking with ChatGPT Ads tracking and a content engine. No published crawler logs.
  • Profound's Enterprise tier, from about $40k a year, is priced for large single brands more than for agency portfolios.

None of these, as published, combine unlimited client projects, crawler logs, visitor analytics, and ad capture at a self-serve agency price.

How we would start

Take your three most demanding clients, load 30 to 50 prompts each into a Growth trial, connect one client's CDN for crawler logs, and build the first monthly report from that data. If the report answers "why" without a follow-up call, the platform is doing its job.
