Best tool to track AI visibility for multiple clients: what we run as an agency

What an agency needs from a tool to track AI visibility for multiple clients: workspaces, pitch audits, reporting and proof of traffic, and why we run Promptwatch.

Running AI visibility for one brand is a measurement problem. Running it for fifteen clients is an operations problem. The tool has to hold every client's prompts apart, produce reports without a weekend of chart-building, and survive the moment a client asks, "so is this bringing us customers?"

This is how we think about choosing a tool for multi-client work, and why our client programs run on Promptwatch.

Start with the operating model, not the feature list

We write down four things before comparing vendors.

How many clients, and how different are they? Ten near-identical local businesses can share a prompt template. Ten different B2B software companies cannot. The more different the clients, the more it matters that every client has a clean workspace.

Who looks at the data? Some clients never log in. They get a monthly PDF. Others want a dashboard. A few want to ask questions of the data directly. A tool that supports only one of those forces us to build the other two by hand.

What do we do with the findings? If the answer is "write a recommendations deck", the tool has to explain gaps. If the answer is "ship fixes", it has to connect to something we can act on.

How do we sell? Pitching is a cost. Every prospect audit we run is unpaid work, so a platform that makes audits cheap is worth more than one with a slightly better chart.

Why the pricing structure matters more than the entry price

The most common trap is per-project or per-domain pricing that looks fine at two clients and painful at twelve. Plans that cap you at one brand workspace push agencies into sales conversations early. Scan or credit metering is fine until a client wants daily runs across several countries.

Promptwatch's agency plans avoid most of that. Every agency plan includes unlimited projects, unlimited pitch projects, unlimited prompts, 10 seats, all AI models, country, state and city tracking, crawler logs, visitor analytics, site audit, custom reports, the Looker Studio connector and MCP plus API access. What changes between Kick-off, Growth and Scale is volume: monthly responses, Agent Credits, visitor events and crawler log volume. That makes the cost of a client easier to predict, because you are sizing a pool, not paying a per-client toll.

Two caveats from our side. Agency plans do not include AEO articles, the knowledge base or the automated Content Agent, so if a client's program leans on scheduled content publishing, that is a brand-plan feature to price separately. And the trial runs on monthly billing for the lower agency plans, so test before you commit to annual.

What we use day to day

Pitch projects. Before a first call, we run a pitch project on the prospect's brand, their competitors and a set of buyer prompts. It costs no client slot. Showing a prospect where an AI engine recommends a competitor in their place is a better opener than a deck about AI search in general.

Citation analytics. For a client that is not being cited, the first question is where the engines get their answers. Page and domain-level citations, plus the Reddit, YouTube and LinkedIn citation reports, tell us which third-party sources matter in that client's category.

Agent Analytics. AI crawler logs show whether GPTBot, OAI-SearchBot, ClaudeBot, PerplexityBot and others can reach a client's pages, with errors and failure explanations. A good number of "we are invisible" cases begin as "the crawler is blocked". Logs are IP-verified, so spoofed user agents are filtered out.

Visitor analytics. For retained clients, this is the report that justifies the retainer: AI-referred traffic and conversions per engine, using a small script, the GTM template or the WordPress plugin.

Reporting. Custom reports, scheduled PDFs and the Looker Studio connector mean the monthly report is mostly assembled. Promptwatch also lists a white-label workspace and client portal for agencies, but we would confirm plan details with the vendor before promising a client a branded portal.

Agent Chat and the Action Board. Agent Chat answers questions over the live data and can build dashboards or PDF reports. The Action Board gives each client a prioritized to-do list, with assignees, which keeps account managers working from evidence.

How other tools fit in our evaluations

We look at the alternatives regularly. Ceyo is priced for agencies and has an explicit project ladder. Mentionable has an Agency plan at 299 EUR a month with unlimited client projects and white-label reports, and it is a reasonable self-serve option for European teams that only need monitoring and drafts. Allmond permits unlimited projects at a low entry price on a weekly or monthly cadence. Semrush's AI Toolkit adds cost per domain. These are fair choices when the job is monitoring. What we kept running into was the next question, which is why a client is invisible and whether the work moved traffic. That is where we stayed with a platform that has crawler logs and visitor analytics in the same workspace.

What we tell clients

AI visibility tracking does not guarantee a recommendation. It shows where a brand appears across a prompt set agreed in advance, which competitors appear instead, and what to fix. We freeze the prompt set at the start of each quarter so the trend is honest.

If you are picking a tool this month, trial it with two real clients and one pitch. See how long a monthly report takes, whether a client can understand it, and whether you can answer the traffic question. The tool that survives those three tests is the right one, whatever the feature table says.
