Small business owner? How to track your brand mentions across ChatGPT and similar AI tools
How a small business owner can track brand mentions across ChatGPT and other AI tools without chasing every platform, with a simple routine and the setup we use.
Small business owners tell us the same thing. There are too many AI platforms, they change every month, and nobody has time to check them all. They are right. The answer is not to follow every platform. It is to follow your customers' questions.
Think in questions, not platforms
Every assistant is a different interface for roughly the same job: someone asks a question and gets a short recommendation. If you track the questions your customers ask, you cover the platforms without managing each one.
So we start every small business engagement with a list of ten to twenty questions. Not keywords. Questions, in the words a customer would use:
- "Who is the best [service] near [place]?"
- "[Your category] for [type of customer]"
- "Is [competitor] better than [you]?"
- "How much does [service] cost?" (assistants answer this even when you would rather they did not)
- Your own business name, plus "reviews"
That list becomes the spine of the whole program. We expand it later using prompt suggestions from Search Console data and People Also Ask questions.
What to record
For each question and each assistant, you want to know four things: were you mentioned, in what position, who else was mentioned, and which sources were cited.
Doing this by hand once is useful. Doing it every week is not realistic for an owner running a business. That is where software earns its place.
What we run it on
Promptwatch is our default for this, and the small business case is a good fit for how it is built. A few features matter more than the rest.
Daily monitors across models. Prompt panels run daily per model, country and language. A small business does not need to log in daily. It needs the data to exist when it does.
Visibility Score and Position in Answer. One number for presence and one for placement. We show owners these two first because they can read a trend without a lesson.
Citation analytics. For small businesses this is often the real discovery. Assistants pull from directories, review sites, local publications, Reddit threads and YouTube. Seeing which pages the answers cite tells you where to appear.
Action Board. A prioritized to-do list, with up to five evidence-backed suggestions per weekly run from a Discovery agent. It turns a pile of data into the three things to do this month.
Visitor analytics. A lightweight script, a Google Tag Manager template or the WordPress plugin shows whether AI-referred visitors arrive and convert. For a small business, a few extra leads is the whole point.
On cost: there is a free Explore plan (10 prompts, ChatGPT only), and Essential is $95/mo for 50 prompts and all models. Crawler logs start higher, on Professional at $245/mo. We tell owners to start small and not buy features they will not use.
A weekly routine that takes 30 minutes
- Open the dashboard and look at Visibility Score and Position in Answer versus the previous period.
- Scan the Action Board. Pick one item.
- Check which competitors appeared on your top three prompts.
- Glance at AI-referred visits and any conversions.
- Write one line in a log: what changed and what you did.
Monthly, add a look at citation sources and refresh two or three prompts.
What improves the result
Tracking does not fix anything alone. These are the changes we see matter for small businesses:
- A page for each service or product, written plainly, with prices or price ranges you are willing to state
- Consistent business details across your site and every listing
- Reviews on the sites that assistants cite for your category
- Answers to the questions customers ask you on the phone, published as pages
- A site that bots can read: check robots.txt and any security tools that might block AI crawlers
The last point deserves a note. We have seen well-meant security settings block AI bots entirely. If the first checks show you are absent everywhere, look at access before you write more content.
Honest expectations
No tool controls what an assistant says. Answers vary by wording, location and day. A good program raises the odds that you are named, and it shows whether your effort is working. It cannot promise a result.
We also tell owners not to measure themselves against enterprise brands. The relevant comparison is the two or three competitors a customer actually considers.
Where to get help
If you would rather not do this yourself, we can set up the prompts, the tracking and a monthly one-page report for you. If you prefer to try it alone, start with the free plan and the ten-question list. Either way, begin with the questions.
