Software to monitor AI answers at scale: what we look for when the volume gets big

How we monitor AI answers at scale for clients: quotas, daily runs, structure for many brands, data export and the Promptwatch features that keep it manageable.

Scale changes the job. With 30 prompts, anyone can read the answers. With several hundred prompts across a dozen brands, five markets and multiple engines, nobody reads anything. The work becomes about quotas, structure, exports and deciding what deserves attention. We learned most of this by running into the limits.

A scope note first: we mean monitoring what AI engines say about brands in response to buyer questions. Observability for a chatbot you built yourself, with traces and evaluations, is a different category and not what this article is about.

Quotas are the first thing that bites

Every platform meters volume somehow. Some count prompts, some count responses, some use credits. The number that matters is responses per month, because daily runs multiply everything. A panel of 150 prompts across three engines run daily is more than 13,000 responses a month, which already exceeds some plans.

Promptwatch lists responses clearly: Essential 6,000, Professional 18,000 and Business 42,000 on brand plans, and 10,000, 25,000 and 65,000 on the agency plans Kick-off, Growth and Scale. Agency plans carry unlimited prompts and unlimited projects, so the response budget is the real limit. Usage alerts fire at 85% of a quota, which has saved us from mid-month surprises more than once. Work out your expected responses before you pick a plan.

Structure matters more than volume

At scale, the question is how to organize things so people can find what they need. We use separate projects per brand or market, and topics, tags and prompt types (organic, brand, competitor comparison) inside each. Personas let us split the same question by buyer type. Owner, editor and viewer roles keep client teams from editing each other's work, and scoped API keys (project, org, read-only) let analysts pull data without admin access. An audit log starts on Business.

Don't run everything daily

Daily runs per model, country and language are available, and we use them for the prompts that drive decisions. For long-tail prompts that we only check for trend, we think hard before spending quota on them. A smaller, well-chosen daily panel beats a huge one nobody reads.

Get the data out

Most client teams want the numbers in their own tools. Promptwatch offers Excel and CSV exports with a column picker, scheduled PDF reports, a Looker Studio connector, REST API v2, and a hosted MCP server with 110+ read and write tools. We use the Looker Studio connector for executive dashboards and the MCP server for ad hoc analysis from an AI assistant. Custom reports start on Professional and are on every agency plan.

Let the platform prioritise

At volume, the danger is more charts and fewer decisions. The Action Board takes some of that weight: a Discovery agent investigates on a weekly schedule and suggests up to five evidence-backed actions per run. Agent Chat answers questions over live data, builds dashboards and generates PDF reports, and Scheduled Chats deliver weekly briefings in-app or in Slack. We use those briefings so clients get a short readout, not a link to a wall of charts.

Explain, not just count

At scale you will see anomalies: a brand drops on one engine in one country. To explain it, we use citation analytics for the source mix, and Agent Analytics for IP-verified AI crawler logs. Crawler logs start on Professional ($245/mo), and Essential ($95/mo) does not include them. Models are tracked through the real interface for ChatGPT Search, Google AI Overviews, Google AI Mode, Copilot, Gemini, Perplexity, Amazon Alexa and Meta AI, with API models such as Claude, DeepSeek, Mistral and Grok alongside, and we label which is which.

Accuracy checks

Wrong facts in AI answers are a real concern for brands with many products or locations. A Brand Book with analysis instructions and brand aliases lets us define what counts as a mention and keep descriptions consistent. Sentiment scoring per response, with a weekly AI summary, surfaces answers that read badly. We read the flagged ones by hand.

Other options

AthenaHQ meters by credit. Scrunch AI lists 5,000 responses on Core. Gauge advertises a high daily volume on three platforms, and Rankscale is credit-based and cheap per answer. Profound offers custom enterprise volume. They fit particular budgets and shapes. We run client programs on Promptwatch because the quotas are legible, the structure supports many brands, and the evidence layers sit in the same place.

Limits

More answers do not guarantee a recommendation. Answers vary between runs, and scale gives you coverage and evidence, not control.

A way to start

Run one brand, one market, 40 prompts, daily, for three weeks. Check your response usage, then add markets. You can use a 7-day trial of Promptwatch to see how the quotas and alerts behave.
